This option will allow you to create a workflow rule, and specify a condition for when the outbound message will be activated. Once the condition is met a Salesforce SOAP message will be sent to FormTitan and the PDF documents that are set up there will be generated.
Following is a detailed example of how to generate documents via Outbound message:
A- Steps In FormTitan:
1- Create a new form
2- Set up the Salesforce Get integration to populate the fields
3- Create the PDF mapping
4- Set up the Push integration to send the generated PDF to Salesforce as an attachment.
B- Steps in Salesforce
C- Test the form
A- Steps In FormTitan:
Set up the form and the Salesforce integration
In this example we will create a form that populates contact information based on a contact ID from Salesforce. It will also generate a PDF and push it as an attachment under the relevant contact in SF. We will also create a workflow rule that will send an Outbound message to FormTitan when a certain condition is met.
1- Create a new form
- Drag a textbox and change its label to “Contact last”.
- Drag another textbox and change its label to “Contact first”
- Drag a third textbox and change its label to ‘Assistant’.
-Drag a Hidden field and change its name to Contact_id
- give your form a name: outbound form1
- save it.
2- Set up the Salesforce Get integration to populate the fields
- Authenticate with Salesforce
- Choose “Contact” object
- Set a condition:
Contact_id equals Contat ID
- Map the fields:
Contact last → Last Name
Contact first → First Name
Assistant → Assistant Name
3- Create the PDF mapping
- You can create any type of PDF (Manual PDF, Auto PDF or both).
- Press on “page” and upload your scanned pdf document
- Open the ‘Element’ dropdown and add your fields on top of the PDF.
- Click on ‘Settings’ option in the toolbar.
- Go to the ‘Salesforce workflow outbound message’ category
- Press on the ‘Configure’ button
- Open the ‘Salesforce object settings’ category and select the Object your Salesforce workflow is working with: Contact
- Press on the ‘Set mapping’ button and map the fields you are receiving from Salesforce to your form fields: Contact_id
- Open the ‘Endpoint URL’ category and copy the URL
- and last but not least - Turn on the ‘Enable’ toggle.
4- Set up the Push integration to send the generated PDF to Salesforce as an attachment.
- Authenticate with Salesforce (already authenticated)
- Choose “Attachment” object
- In the ‘Action’ category leave the “Create’ option selected.
- Map the fields:
Parent ID → Contact_id
File name → PDF mapping
Body → PDF mapping
B- Steps in Salesforce
- Press on “Setup” link in the upper menu
- Type workflow’ in the Quick find box and press on the ‘Workflow rules’ link.
- Press on the “New rule” button to create a rule
- Choose the object to which the rule applies (Contact) to and press on the ‘Next’ button.
- Give your rule a name (and a description if needed): outbound1
- Choose the ‘Evaluation criteria’ - to determine when the rule will be active. Choose the third option.
- Create your rule to set the condition trigger. For this example: if Lead source equals Web.
- Press on ‘save & next’
- Configure the ‘Workflow action’ that will happen if the condition is met.
- Open the ‘Add workflow action’ dropdown and choose ‘New outbound message’.
- Now you will need to configure the outbound message:
- Give it a name: outbound rule
- and a unique name,
- Paste the ‘Endpoint URL’ you copied from FormTitan PDF settings
- Choose the object fields you want to send from Salesforce to FormTitan: ID
- Press on ‘save’.
- The workflow actions are executed automatically so if you want the outbound message to be sent later on you can set a time trigger.
- Press on ‘Done’ button to finish the process
- All that is left now is to Activate the rule.
C- Test the form
In salesforce: create a test contact:
Jerry Johns, assistant name: Rick and choose ‘Web’ in the lead source field.
Refresh this contact and you will find a new PDF document added to the contact’s attachments
