Sharing your Salesforce form with your collaborator

Last updated Jun 24 2019
FormTitan allows you to create collaborators and share your forms, reports, submissions with them.
You may give each of your collaborators different permissions as to what they can view, edit, delete. You may, for example, give one user unlimited access to all your forms, reports and submissions allowing him to view, edit and delete data as he wishes. and at the same time give another collaborator limited access, allowing him to only view and edit 3 specific forms, data, with no access to reports and submissions.

But what happens when your forms are integrated with Salesforce? can they be still shared then?
The answer to this is "Yes". However, you should be aware of 2 issues you should take care of:
A- The first is authentication. When you integrate with Salesforce, you need to authenticate with your SF account. and so when you share this form with a different collaborator, who is not authenticated with this same account - he will not be able to see your integration configurations,  So it is important to be aware of this and supply your collaborator with the account details, so he can can also authenticate with the same SF account.
B-  The second issue is the "Push logs". Each time data is pushed to SF it is recorded in a special log (in "My account"). This log is useful for keeping tracks on your integration, especially when there are problems and errors might occur. So when you share a SalesForce form with a collaborator, you should keep in mind that he cannot see this log by default, and you need to grant him access to it.

Following are instructions for sharing your salesforce forms with collaborators:
1- Enter "My account" page > Users tab
2-   Edit an existing collaborator or create a new collaborator under your account.
3-   Once step 1 is done (and the user name and email are already entered).  Press on the "Next" button

4-   You will now reach step 2 - where you will need to define/edit the permission given to this collaborator.
* Please notice that you have 3 types of collaborators you can create:
- A basic collaborator - which can only view forms, data and submit forms.
- An Editor - which can edit your forms and data (requires an additional license).
- A creator - which can create new forms for you (requires an additional license).
Also, when you are setting the permissions there are 4 tabs you do it in: Form, Theme, Report, Submissions.
This way you can give a person different permissions for various aspects of your form:  for example, give him permission to edit the form data in the "My Submissions" page, and to only view the form in the form builder.
5-   In order to allow your collaborator to access the form you will need to open the "Form tab", Use the Search box to look for the form and then set permission by turning on the relevant checkboxes: Read, Write & Delete.
This will take care of their authority to view the form, edit it and even delete it.
*Please keep in mind that these collaborators will not be able to see your salesforce integration Push or Get settings unless they too authenticate with the same SF account as you integrated with.

6-   In order to share the integration log with your collaborator and allow him to track the integration records, you will need to grant him permission to the "Submissions".
So open the "Submissions" tab, use the search box to look for your SF form and grant him access to : Read, Write, Delete, Submit.
